Frequently Asked Questions

  • Scheduling for the first time with WSG is as simple as sending an email to office@wsgreporting.com, including a copy of a Notice of Deposition or some short document that includes the style of the case for the reporter and requesting the date, time and location of your request.

    You may also click the Schedule a Deposition button on our website home page and fill out the short form.

    Know that we will ask for a job duration! Although we know things can change, please provide an estimate of duration as accurately as possible by inquiring directly with counsel. Scheduling sometimes requires us to utilize the same reporter in two locations on the same day, and we depend on the accuracy of the best estimate possible in this process. Although it is rare, we will be sure to obtain approval if there is a hard stop required by our reporter.

    After scheduling for the first time you will receive a link to set up your ServiceLink portal. Once logged in, if you use the portal to schedule, your basic contact information will be remembered and make the form faster and easier to fill.

  • A link to our current W9 is provided in the body of every invoice e-mail. You may also click HERE to download or e-mail office@wsgreporting.com to request.

  • You can upload files to us by clicking on the “UPLOAD FILES” button in the footer of the website.

    Fill out the form fields, then be sure to hit the ENTER button. Once the “enter” button is activated the field will become open to simply drag the files needed into the upload box. The service we use can handle large files, including video with no problem.

  • If you receive a download link for transcript or video files, simply click the link provided. It will take you to the WSG File Share page where you will see icons for the files to be downloaded.

    Enter your e-mail in the blank provided and click Enter. This should activate the green “download” button in the top right of the box. From there, just click “download” to obtain your files.

  • ServiceLink is the client interface of our firm management software. It is the portal where jobs can be requested or changed and files and invoices can be viewed and downloaded. Invoices may also be paid directly from ServiceLink, if you choose.

    A login will likely be created for you when you schedule your first job with us. If not, simply e-mail office@wsgreporting.com to request ServiceLink login credentials.

    You will receive an email containing your username and temporary password for ServiceLink. Follow the login instructions within ServiceLink to set up your account.

    We suggest that you bookmark the login page for ServiceLink, as it acts as home base for most everything you need, and you will likely be in and out of the portal often.

    NOTE: ServiceLink does not support Microsoft browsers, so make sure to use Chrome when setting up your account. Feel free to reach out to our office at the e-mail above with any questions about setting up your account. We are glad to help.

  • Upon logging into your ServiceLink account, select the "Calendar" option on the left side of your ServiceLink screen. Your scheduled depositions will appear on the calendar. Click on a specific deposition within the calendar to see the details that we have on file for the job.

    The “Legend” drop-down tab at top right-hand side of the bar at the top will tell you the calendar color key legend for jobs.

  • WSG has spent the second half of 2023 phasing out the automatically-sent, hard copy sealed original. Georgia is an e-file state, but we recognize that some judges still require the hard copy sealed original for trial. Until we can get a statewide rule eliminating the confusion, we are placing sealed originals on an as-needed basis.

    If you KNOW you will need a standing order for all sealed originals, please let us know, and we will place you on standing order to receive them. If you know a certain case will need them, we can place the case on a standing order.

    If you are going to trial and need originals for trial, simply send us a list, and we can get those printed and out to you. Please be sure to give us as much time as you can, but they normally do not take long to produce. There is a printing fee associated with producing a hard copy of $.50/page. Exhibits printed incur a $.50/page BW/$1.25/page COLOR fee. A thumb drive is a flat fee of $45.

    Hard copy exhibits from on-site depositions will be scanned for the electronic transcript and labeled with a coversheet for eventual return.

    When ordering sealed originals, please let us know how you wish us to handle the exhibits.

    (1) Will you be sending us the original exhibits if they have already been returned to you?

    (2) Do you wish us to reproduce them by printing?

    (3) If the exhibits are voluminous, we can possibly save cost by adding them to the transcript by way of a thumb drive.

  • Cancellation rates for reporters:

    $250 - Cancellation of a job after 4:30 p.m. and up until the reporter either logs on to Zoom or leaves their home to arrive at the deposition/hearing.

    After the reporter has left their home to appear for the deposition or has logged on to Zoom FULL MINIMUM RATES APPLY.

    Cancellation for Videographers:

    4-6PM day prior: $75

    After 6PM day prior: $100

    Day of prior to leaving or logging on: $175

    En Route or on-site: $300

  • Zoom depositions, just like regular on-site depositions, must be clearly noticed as a VIDEOTAPED DEPOSITION. If they are not noticed as a video deposition, the recording will not be available for purchase.

    If you wish to have your Zoom deposition video recorded, WSG Reporting offers the following two options:

    1) Our reporter can record your deposition via Zoom Record and spotlight your witness; however, in this instance Zoom Record is the ONLY recording, there is no backup, and there will be NO beginning or on/off-record read-on. WSG will under no circumstances be held liable for reporter or Zoom error with regard to maintaining the spotlighting the witness or monitoring the position of the witness in the frame, or any other malfunctions that may occur with regard to recording, as the reporter is not acting as a videographer. The reporter’s job is, first and foremost, to take down the spoken word. THERE IS NO CHARGE FOR OPTION 1. If you wish to purchase the video, normal hourly rates apply, as well as any editing time required to remove breaks and off-the-record discussions..

    2) If you wish to have a more professional-type videotaped Zoom deposition, we will gladly provide a professional videographer who will run both local and cloud recordings, creating a backup, and be available for exhibit sharing (small fee below) and general help with technology during the deposition.

    AS ZOOM VIDEO QUALITY IS DEPENDENT ON WIFI CONNECTIONS OUT OF OUR CONTROL, WSG IS UNDER NO CIRCUMSTANCES RESPONSIBLE FOR THE QUALITY OF VIDEO PRODUCED BY ZOOM.

  • The answer is YES! We network with firms all over the country to help keep your work in one location. If you wish to keep your billing and file repository entirely with WSG, we will gladly help handle your out-of-state work.

    Simply request through ServiceLink or e-mail the job information to Claire, and she can help get you set up.

  • Open ServiceLink and log in. From Dashboard choose the large Blue “Current Balance” tile in the upper right of your screen. That should open a list of your outstanding invoices. The filters on the top row can also show you other view (such as paid, etc.)

  • Invoices are sent via e-mail and are due upon receipt and considered late at 30 days.

    Every invoice e-mail from our system sending will contain a link to both our W9 form, as well as a link to our payment portal.

    Invoices may be paid by check to our address: 3430 HEARTWOOD LANE, ATLANTA, GEORGIA 30340 or through our portal (linked above) via credit card.

    If paying by credit card, once on the Quick Pay site, you will need to enter the invoice number(s) you wish to pay into the appropriate blank. This will populate the line with the amount due for each invoice listed. Card information can be entered in the area below the invoice list.

  • If you would like to pay your invoice directly from ServiceLink, from the “Current Bills” tab.

    Directory - Cases - to pay invoices from an entire case. Select case and within the case there’s an Orders option in left hand bar - outstanding invoices can be seen and paid in that window.

  • There are a few ways to search for previous depositions within ServiceLink.

    1) From the Dashboard, select the "Calendar" option on the left side of your ServiceLink screen. Select the deposition on the calendar to view the details and files that we have in our repository regarding that specific deposition. NOTE: If transcript files are available, they will be located in "Files/Notices" within the grey box on the left-hand side of the job screen.

    2) While in the “Dashboard” section, the box on the lower right-hand side is titled “Jobs with Most recent files Uploaded.” All recently-uploaded files should be located there. If the files are older, please see Option 3.

    2) From “Dashboard” select the "Activity" option on the left side of your ServiceLink screen. You can search for a deposition using the "Date Range" box or search by keywords. Select the specific deposition to view its details and files that we have in our repository.

  • Our standard turnaround time for deposition transcripts is 10 business days. Sometimes reporters get behind due to volume and life happenings; but 10 business days, and sometimes sooner, is the goal. If you have not received your transcript in the prescribed time, simply call for an update. Hearing and trial transcript turnaround will differ based on length and reporter backlog.

    If you need faster turnaround, our rush rates are as follows below. PLEASE communicate clearly with our office if you know that a rush will be needed for your job, preferably letting us know the DATE you wish to receive the files. We assign reporters specifically for the job requirements requested.

    Percentage for rush listed below is added to standard page rate.

    Same day - 120%

    Next day: 100%

    2nd day: 90%

    3rd day: 80%

    4th day: 70%

    5th day: 60%

    6th day: 50%

    7th - 9th day: 20%

  • If you need an interpreter for your deposition, we are happy to share a list of companies that can provide this service.

    We no longer handle the scheduling and confirmations with these companies.

  • Prompt payment of invoices helps us ensure that the very best reporters are on your job. Invoices are due upon receipt and considered late at 30 days.

    Our system will send an auto-generated e-mail at the 30-day mark. Please let us know at that point when the invoice is planned to be paid. If it is already in the mail, please disregard.

    Late fees, if applied, are either $40 or 10% of the invoice. We strive to work with you to avoid these fees, but if they are placed, it is because much effort has already been employed to collect without resolution. If the late fees are applied, they are MANDATORY and the invoice will be re-billed until paid.

  • New this year is what we are calling our Standing Order Video Discount.

    We are attempting to encourage the immediate order of video files from depositions, as they are often forgotten and ordered sometimes years later in a panic for trial. We have a retention goal of TWO YEARS for video files, as the cloud storage space required to keep them is enormous, hard drives tend to fail, etc. All efforts will be made to retain indefinitely or until notifying the client of an imminent purge of files.

    Any video order placed at the conclusion of the deposition, when asked by the videographer or reporter, OR any single case or law firm with a standing order for video files may be ordered at the discounted rate of $45/hr NOT synced or $75/hr SYNCED with the transcript.

    Normal pricing is $65/hr NOT synced and $85/hr SYNCED.

  • WSG no longer offers conference space within our office in the Doraville area of Atlanta.

    We do have access to several conference spaces in the Sandy Springs and Roswell area for a small fee. Fees charged to the client for this conference space are identical to the fees charged to WSG for access to the space.

  • Real-time translation (real-time reporter) is a very specific service that can be added to your deposition.

    A real-time reporter is a highly-skilled reporter who can provide through specific software (either on-site or via Zoom) access to a live feed of the deposition transcript. It is searchable, markable and sometimes an invaluable resource for counsel. The feed cannot be downloaded after the deposition, but a rough draft may be ordered in combination with the real-time feed as a combo request.

    There are extra fees for this service, so please be sure to request information prior to ordering. As this is a specialized service, we will need to know upon scheduling that this service will be required in order to secure the proper reporter. Adding the service last minute may not be an option, so be sure to request at the time of booking.

  • Certainly. Some counsel just like to have a bound hard copy of their depositions. We are glad to help. Please specify whether you would like a full-size or a condensed hard copy, and if you would like exhibits to be printed and tabbed to be attached. A printing fee will apply.

  • Transcripts are delivered (standard) in a PDF file grouping of a full-size version with index, condensed (4/page) with index and ASCII versions. An electronic original is also sent to counsel ordering the original. NO HARD COPY SEALED ORIGINAL WILL BE SENT, unless requested. If you feel you will need the sealed format, please let us know.

    Other formats, such as MDB, LEF, SBF, XMEF, PTF, AMICUS and PTX may be ordered upon request.

  • The answer is YES! We are happy to cover your deposition in the Atlanta area and network with your firm. E-mail the information details to office@wsgreporting.com, and Claire will get you set up.

  • Standard on-site video is delivered via e-mail download link in 720P High-Definition video. Live video is recorded in 1080P, but is delivered in 720P in order to accomplish a more manageable video size.

    Different or specialized formats are available upon request. Please call (770) 367-7822 to discuss prior to booking to ensure that your special requests can be accommodated.

    Zoom quality is determined by the attendees’ bandwidth. Quality on Zoom video cannot be guaranteed, as control is limited by this factor.
